SALARY RANGE: $45,000 - $55,000 FLSA: EXEMPT
IMMEDIATE SUPERVISOR: Director of Financial Aid Enrollment Support
SCHEDULE DETAILS: Full-time/12-month position/PEERS/Office hours are 7:30 a.m. – 5:30 p.m., Monday through Thursday, and 8:00 a.m. - 4:30 p.m. on Friday. Flexibility to work any shift within these hours is required. Occasional evening and weekend work may be required.
Position Summary
The Coordinator of Aid Programs supports the administration of state aid and institutional scholarship and grant programs. The Coordinator serves as a resource for students, families, and campus partners regarding financial aid eligibility and program requirements and contributes to institutional compliance with state and institutional regulations. This position participates in complex financial aid reviews and decision-making processes. In collaboration with key stakeholders across the College, the Coordinator promotes student success through effective administration of state aid and endowed scholarship programs while supporting continuous process improvement and regulatory compliance.
Essential Job Functions
- Serve as a primary resource for state aid programs and institutional scholarship and grant programs, providing support and guidance to students, families, and campus partners regarding program requirements, eligibility, and procedures.
- Monitor state aid and institutional scholarship programs to ensure compliance with applicable regulations, donor restrictions, institutional policies, and awarding requirements.
- Reconcile state aid, scholarship, and grant funds and resolve discrepancies through collaboration with internal and external partners.
- Coordinate administration of the endowed scholarship program in collaboration with the Ozarks Tech Foundation, including scholarship packaging, system maintenance, recipient selection processes, fund utilization monitoring, and support of scholarship committees.
- Maintain state financial aid records and documentation in accordance with applicable records retention policies and regulatory requirements.
- Review and evaluate student eligibility for state aid, institutional scholarships, and grant programs through analysis of enrollment, academic performance, program requirements, and institutional data to ensure appropriate awarding and compliance.
- Analyze system-generated reports and other data sources to monitor eligibility, fund utilization, compliance, and award accuracy for state aid and institutional scholarship programs.
- Coordinate with Student Account Services and the Ozarks Tech Foundation to ensure timely and accurate application of state aid, scholarships, and grants to student accounts.
- Provide specialized support for elevated student inquiries from College Navigators, Admissions Counselors, and Student Success Representatives, ensuring timely and accurate responses to complex financial aid questions and concerns.
- Prepare and present information regarding state aid programs, institutional scholarships, and grant opportunities.
- Maintain a working knowledge of federal, state, and institutional financial aid programs and supporting regulations, translating regulatory requirements into effective operational processes.
- Participate in training and professional development opportunities to provide continuing education in financial aid administration.
- Execute assigned responsibilities, duties, and tasks according to established college policies, procedures, and standards in a safe manner and with minimal supervision working independently to identify problems and recommend solutions.
- Contribute to student satisfaction through delivery of quality customer service in all aspects of the administration of financial aid.
- Participate in the development of institutional financial aid policies and processes that will positively impact efficiency and quality of service provided.
- Perform other duties as directed, including internal and external committee assignments, and attendance at college, community, and professional events.
Required Knowledge, Skills & Abilities
- Bachelor’s degree in a related field from a regionally accredited institution of higher learning or three years of experience in student financial aid programs, including knowledge of state and federal regulations on student financial aid administration, or any equivalent combination of education, training, and experience.
- Excellent organizational skills with the ability to work in a multi-tasked high-volume office and meet deadlines.
- Three years of experience in database systems, and Microsoft Excel and the ability to use information technology for professional productivity (such as Microsoft Office Suite).
- Accuracy and attention to detail.
- Ability to maintain confidentiality.
- Ability to work effectively in teams as well as independently.
- Strong oral and written communication skills.
Preferred Knowledge Skills & Abilities
- Three years of customer service experience.
- Experience with Colleague.
- Experience working within a collegiate setting.
