JOB TITLE:  DENTAL CLINIC OFFICE COORDINATOR                           DEPARTMENT:  HEALTH SCIENCES

SALARY RANGE:  $20.00 - $30.00 HOURLY                                       FLSA:  NON-EXEMPT

 

IMMEDIATE SUPERVISOR:  Dental Hygiene Program Director

SCHEDULE DETAILS:  Part-time not to exceed 19.5 hours per week.

 

Position Summary

The part-time Dental Clinic Office Coordinator will be responsible for the flow and efficiency of the dental clinic office. This is a person who has primary responsibility for the business activities of the dental area. They will maintain professional education to uphold current dental office management processes. Other major responsibilities include attending program meetings. This position is responsible for 19.5 contact hours in a normal work week.

 

Essential Job Duties

  • Outstanding written and verbal skills.
  • Managing phone communication and exhibit excellent phone etiquette (must be able to respond to patients with a calm, tactful, and appropriate manner).
  • Manage and retrieve voicemails.
  • Organizational and detailed oriented work skills.
  • Complete multiple tasks on time, pay close attention to details; organized with dental knowledge and good problem-solving skills.
  • Managing patient schedule and assisting student with patient schedule.
  • Greeting patients and appointing patients for appropriate care.
  • Dental patient record management and confidentiality of patient information.
  • Create reports and data summaries.
  • Managing the dental clinic email inbox and online confirmation system.
  • Patient account management.
  • Assist patients in completing initial paperwork required for treatment.
  • Update brochures, marketing materials.
  • Liaison between patients and program director/faculty.
  • Accepting and recording electronic payments.
  • Maintain professionalism and vocational certifications, as required by position.
  • Assist in student outreach and recruitment for college, Health Science division and dental programs.
  • Foster a positive environment by presenting themselves as a role model for students.
  • Actively participate in program meetings.
  • Exhibit exemplary attendance and punctuality.
  • Comply with college policies and procedures.
  • Perform other duties as assigned.

 

Non-Essential Job Duties

  • Participate in professional organizations, as appropriate.

 

Required Knowledge, Skills & Abilities

  • Associate degree from a regionally accredited institution of higher learning and/or working towards it.
  • Demonstrate current knowledge of dental office management; minimum of 5 years dental practice experience.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Eaglesoft dental software, Microsoft Office Suite).
  • Knowledge of business machines (scanners, computers, fax, copiers, high-tech phone systems).
  • Flexibility in working hours.
  • Billing insurance claims.

 

Preferred Knowledge Skills & Abilities

  • Experience in dental office management.
  • Experience in a leadership role in a dental office.
  • Experience in business management.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions.  Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel. 

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
