JOB TITLE:  PART-TIME OFFICE ASSISTANT                                                                            DEPARTMENT:  AVIATION

SALARY RANGE:  $13.40 - $15.50                                                                                      FLSA:  NONEXEMPT

               

IMMEDIATE SUPERVISOR:  Aviation Department Chair

SCHEDULE DETAILS:  Part-Time/as needed (19.5 hours weekly, 8:00 a.m. - 4:30 p.m.- hours may vary)

 

Position Summary

The Part Time Office Assistant is responsible for maintaining, performing, and assisting with a variety of clerical duties to support the aviation program department in the day-to-day operations.  This position provides primary support to aviation department chair and for aviation staff and students during day classes.

 

Essential Job Duties

  • Perform receptionist tasks, answer the telephone, greet students, employees, and visitors, and direct them to the appropriate office or person.
  • Maintain a pleasant and positive attitude toward all students, faculty, staff & visitors.
  • Work with applicants to collect application items/documentation and applicant information; assist with scheduling interviews, meetings, or tours; and provide requested information.
  • Fill out travel reimbursement forms for instructors and have them signed by instructors.
  • Maintain and update variety of data and resources for Aviation Program and the Department Chair.
  • Assist and attend department meetings, advisory meetings, and outreach/marketing events such as fly-ins, school visits, and college sponsored student events.
  • Assist aviation instructors with the operation of office equipment (copiers, fax machine, Scantron, etc.)
  • Assist full-time faculty & staff with various projects when asked.
  • Assist with incoming mail and deliveries to faculty and staff.
  • Assist with ordering supplies for the aviation program.
  • Assist with managing student files and information.
  • Demonstrate professional conduct, positive attitude, and supportive culture.
  • Exercise initiative and assess workload, prioritize workflow, and use independent judgement.
  • Maintain confidentiality of students, parents/guardians, and fellow staff members, as well as records and all information.
  • Exhibit exemplary attendance and punctuality.
  • Comply with college policies and procedures.
  • Perform other duties as assigned, including participating in commencement, attending college functions, serving on committees and attending community events.

 

Required Knowledge, Skills & Abilities

  • High School Diploma or equivalent.
  • Proficient skills in Microsoft Office Suite.
  • Prior customer service experience and working with the public.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity.

 

Preferred Knowledge Skills & Abilities

  • Associate’s degree from a regionally accredited institution of higher learning. 
  • Experience with Colleague.
  • Experience working within a collegiate setting.
  • Experience with aviation training

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT: (The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.)

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions.  Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel. 

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
