JOB TITLE:  PART-TIME ENROLLMENT RECORDS ASSISTANT 

DEPARTMENT:  REGISTRAR

SALARY RANGE:  $14.00 PER HOUR

FLSA: NON-EXEMPT

 

Immediate Supervisor:  Assistant Registrar – Enrollment Operations

Schedule Details:  Part-time (not to exceed 19.5 hours per week)

 

Position Summary

The Part-time Enrollment Records Assistant performs day-to-day clerical functions in the Office of The Registrar including processing admissions applications, high school and college transcripts, student data cleanup, fraud monitoring and other duties for Student Affairs. 

 

Essential Job Duties

  • Conducts thorough reviews of admissions applications to detect and address discrepancies, inconsistencies, and potential fraudulent submissions.
  • Compares applicant data with existing records to identify potential matches or duplicates.
  • Processes physical and digital high school/high school equivalency transcripts, college transcripts, placement test scores, and other necessary documents in an accurate and timely manner. 
  • Communicates with students via email or phone to verify information, discuss the status of their transcripts, and answer other inquiries sent to the Admissions email.
  • Generates data quality assurance reports and precisely updates student records to ensure accuracy and consistency.
  • Coordinate and direct incoming phone calls and emails to the appropriate registrar staff or department.
  • Assists with simple evaluations of college transcripts and other types of college credit.
  • Utilizes several different programs and software for record keeping and data cleanup.
  • Utilizes document imaging software to evaluate, store and retrieve student record documents.
  • Collaborates with staff and faculty of various departments to ensure accurate and efficient processing of student record data.
  • Provides specialized support for elevated student inquiries from College Navigators, Admissions Counselors, and Student Success Representatives, ensuring timely and accurate responses to complex admissions questions and concerns.
  • Follows FERPA guidelines for student privacy. 
  • Performs other duties as assigned.

 

Required Knowledge, Skills & Abilities

  • High School Diploma or GED
  • Computer literacy; experience with Microsoft Office products mandatory
  • Flexibility to learn new processes and software
  • Strong oral and written communication skills
  • Data entry and word processing with a high level of accuracy and attention to detail
  • Analytical skills
  • Time management
  • Previous customer service experience

Preferred Knowledge Skills & Abilities

  • Previous work experience in an office setting
  • Experience with Colleague
