SALARY RANGE: $45,000 - $55,000                                                                            FLSA: NON-EXEMPT

 

IMMEDIATE SUPERVISOR:  Provost/Executive Vice Chancellor for Academic Affairs

SCHEDULE DETAILS:  Full-time/12 month position/PEERS

 

Position Summary

The Academic Affairs Administrative Assistant performs clerical and support duties for the Provost/Executive Vice Chancellor for Academic Affairs and Academic Affairs staff with efficiency, dependability, and confidentiality.

 

Essential Job Duties

  • Manage the operations of the Academic Affairs suite; handle telephone calls and messages and make appointments for the Provost; greet visitors to the Academic Affairs suite.
  • Handle correspondence relating to the office of the Provost.
  • Monitor and order office equipment, services and supplies for the Academic Affairs area; schedule conference room(s) in the Academic Affairs area.
  • Maintain use of purchasing card, including processing necessary requisitions for purchases, maintaining files for all department purchases, and providing documentation to the Finance office.
  • Assist the Provost in monitoring the Academic Affairs budget.
  • Organize and maintain all files and materials so they are readily retrievable, either electronically or by hard copy.
  • Process incoming and outgoing mail for the Academic Affairs area.
  • Handle meeting and travel arrangements and follow up on all details, including completion of itinerary, travel expense vouchers and maintaining files for all Academic Affairs travel expenses.
  • Record and distribute minutes of council meetings and other meetings as directed. Produce draft copy of minutes for Provost’s approval before distribution.
  • Track and manage the performance evaluation cycle for adjunct faculty.
  • Manage the records, approvals, postings and mailings of program advisory committees.
  • Manage the student academic appeal process.
  • Assist with compiling both the Dean’s, Chancellor’s, and Provost’s Lists.
  • Assist with website and calendar updates.
  • Exhibit exemplary attendance and punctuality.
  • Comply with college policies and procedures.
  • Perform other duties as assigned, including attending college functions, serving on committees and attending community events.

 

Required Knowledge, Skills & Abilities

  • Associate degree from a regionally accredited institution of higher learning or equivalent college credit hours.
  • One year of executive clerical experience.
  • Strong organizational skills.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Microsoft Office Suite).

 

Preferred Knowledge Skills & Abilities

  • Three years of executive clerical experience.
  • Outstanding leadership and management skills.
  • Experience with Colleague.
  • Experience working within a collegiate setting.
