JOB TITLE:  EARLY CHILDHOOD EDUCATION CENTER ADMINISTRATIVE ASSISTANT             

DEPARTMENT:  TECHNICAL EDUCATION

SALARY RANGE: $16.00 - $18.50 PER HOUR                                                                        

FLSA:  NON-EXEMPT

                                                                                                                                                  

IMMEDIATE SUPERVISOR:  Early Childhood Education Center Director

SCHEDULE DETAILS:  Full-time (Available hours will fall between 7:00 a.m. – 5:45 p.m. Monday through Friday, not to exceed 40 hours per week)/12-month position

 

Position Summary

The Early Childhood Education Center (ECEC) Support Assistant provides program support to the Center through office and clerical functions, and assists Lead and/or Assistant teachers with classrooms, storage materials, and common center areas.  

 

Essential Job Duties

  • Assist the ECEC Director and ECD Department Chair in managing the daily operations of the Center.
  • Maintain and enter attendance, family enrollment data, and student practicum info into Procare database.
  • Assist customers, including giving tours of the facility and greeting visitors.
  • Perform receptionist tasks - answer the telephone, filing, disseminate information, and distribute mail.
  • Assist ECEC Director with staff scheduling.
  • Assist all ECD staff and faculty with clerical tasks.
  • Serve as an aide in the ECEC lab school classrooms as needed.
  • Manage purchasing orders, receipts stocking supplies, materials, and maintaining inventory.
  • Communicate with Tech Ed division personnel and OTC shipping and receiving regarding purchasing processes.
  •  Maintain and organize office supplies and curriculum materials.
  • Prepare and edit memos, reports, spreadsheets, emails, etc. when necessary.
  • Assist with orientation of OTC Work Study students.
  •  Work together with colleagues and parents to build positive relationships within the preschool environment, the OTC environment, and the community.
  • Assist with general housekeeping tasks.
  • Assist with major projects and ECEC events including fall harvest parade, family luncheon, etc.
  • Complete professional development training hours as required for licensing, accreditation, and Ozarks Technical Community College.
  • Maintain current CPR and First Aid certifications.
  • Attend all staff meetings and other mandatory or required in-service meetings.
  • Maintain confidentiality of all students, and employees.
  • Demonstrate professional conduct, a positive attitude, and a supportive culture.
  • Know and adhere to the policies of the program in regards to:
    • Licensing and accreditation guidelines
    • Communicable diseases and exclusion of sick children
    • First aid and medical emergency
    • Emergency procedures
    • Mandated reporting procedures
    • Center dress code and professionalism
    • Reporting personal illness when needing a sick day or requesting time off
    • Missouri MOve Smart guidelines
    • NAEYC Code of Ethical Conduct
    • FERPA and HIPPA confidentiality guidelines within the classroom and ECEC
  • Exhibit exemplary attendance and punctuality.
  • Comply with college policies and procedures.
  • Perform other duties as assigned, including attending college functions, serving on committees and attending community events.

 

Required Knowledge, Skills & Abilities

  • Ability to pass a TB test, and provide current TB Risk Assessment.
  • Ability to pass a medical physical, as required by the Missouri Department of Health and Senior Services.
  • Ability to be approved by the state Family Care Safety Registry and the Comprehensive Fingerprint Criminal Background Check.
  • Prior customer service experience.
  • Perform physical activities and lift up to 50 pounds unassisted.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Microsoft Office Suite).

 

Preferred Knowledge Skills & Abilities

  • One year of experience as an office or administrative assistant.
  • Nine college credit hours in early childhood development, early childhood education or a related field from a regionally accredited institution of higher learning, or a current Child Development Associate (CDA) credential.
  • Experience with Procare Software.
  • Experience working in a child development laboratory setting at an institution of higher learning.
  • Prior experience working with a diverse population.
  • Previous experience supervising preschool children.
  • Experience with Colleague.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions.  Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel. 

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
