SALARY RANGE: $45,000 – $55,000                                                               FLSA: EXEMPT

SCHEDULE DETAILS: Full-time/12-month position/PEERS

 

Position Summary

The Campus Visit Experience Coordinator is responsible for planning, organizing and implementing on-campus and virtual visit experiences for prospective students, families, school and groups and community organizations. This role ensures that each visit reflects Ozarks Tech’s spirit and creates a welcoming and informative first impression.

This position manages student ambassadors, part-time staff and volunteers, and supports large-scale events such as open houses and information sessions.

The successful candidate will be detail-oriented, energetic, and passionate about helping prospective students connect with the college.

 

Supervision Received and Exercised

  • Receives general supervision from the College Director of Student Recruitment & Onboarding
  • Hires, trains, evaluates, and provides guidance to student ambassadors, part-time staff, and volunteers

 

Essential Job Functions

  • Coordinate and manage all campus visit activities, including daily tours, group visits, large-scale recruiting events, and collaborate with the College Director of Student Recruitment and Onboarding for orientation and registration events.
  • Serve as the primary point of contact for prospective students and their families visiting campus.
  • Manage all visit logistics, including room reservations, tour guide assignments, parking, catering, and event materials.
  • Recruit, train, and supervise student tour guides.
  • Develop engaging tour scripts and training materials to ensure a consistent and high-quality visitor experience.
  • Use storytelling, personal connection, and strategic tour design to create a lasting, positive impression of Ozarks Tech as the college of first choice.
  • Collaborate with the Marketing department in the development of promotional materials, social media content, and communication campaigns related to visit events.
  • Ensure each visit highlights the unique aspects that distinguish the college (e.g., Student Success, Eagle Breakfast, OTC Cares, etc.).
  • Utilize the CRM system to manage scheduling and tracking for campus visits, as well as pre- and post-visit communications.
  • Generate reports from the CRM on campus visits and related data as needed.
  • Gather and respond to visitor feedback to continuously enhance engagement and personalize the visit experience.
  • Assist in the planning, development, and implementation of new student orientation, open houses, and registration events.
  • Ensure the visit experience aligns with Ozark Tech’s mission, vision, and commitment to student success.
  • Represent the College professionally at all times and serve as a knowledgeable advocate for Ozarks Tech programs and services.
  • Support the overall recruitment and onboarding strategy developed by the College Director of Student Recruitment and Onboarding.
  • Participate in college committees and training sessions as assigned.
  • Perform other related duties and responsibilities as assigned.

 

Required Knowledge, Skills & Abilities

  • Bachelor’s degree from a regionally accredited institution
  • Two to three (2-3) years of experience in student services, recruitment, event planning, or a related field
  • Exceptional communication and interpersonal skills
  • Proven ability to organize and manage multiple events and schedules
  • Comfortable working with diverse audiences, including students, parents, faculty, and community members
  • Proficient with Microsoft Office, Google Suite, and CRM platforms
  • Ability to work occasional evenings and weekends for events or group visits

 

Preferred Knowledge, Skills & Abilities

  • Experience in higher education, particularly in a community college setting
  • Familiarity with Salesforce CRM or similar student engagement platforms
  • Knowledge of enrollment management strategies and best practices in student recruitment
  • Previous experience supervising or mentoring student staff or volunteers
  • Availability and comfortable with working nights and weekends as needed.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Environment: Work is primarily performed in an office and campus setting with frequent interaction with students, visitors, and staff. Occasional travel between campuses and exposure to inclement weather during campus tours or off-campus events may be required.

Physical: Requires sufficient physical ability to lift and carry light promotional materials; extended walking and standing during campus tours; frequent use of computers and office equipment.
