JOB TITLE: Coordinator of Federal Aid Programs                                                DEPARTMENT:  Financial Aid

SALARY RANGE: $45,000 - $55,000                                                                                        FLSA: EXEMPT

               

IMMEDIATE SUPERVISOR: Director of Financial Aid Processing

SCHEDULE DETAILS:  Full-time/12-month position/PEERS/Office hours are 7:30 a.m. – 5:30 p.m., Monday through Thursday, and 8:00 a.m. - 4:30 p.m. on Friday. Flexibility to work any shift within these hours is required. Occasional evening and weekend work may be required. 

 

Position Summary

The Coordinator of Federal Aid Programs supports the administration of federal student aid programs, private student loans, and the Federal Work Study Program. The Coordinator serves as a resource for students, families, and campus partners regarding federal financial aid eligibility and program requirements and contributes to institutional compliance with federal regulations. This position participates in complex financial aid reviews and decision-making processes. In collaboration with key stakeholders across the College, the Coordinator promotes student success through effective administration of federal aid programs and employment opportunities while supporting continuous process improvement and regulatory compliance.

Essential Job Functions

  • Serve as a primary resource for the Federal Work Study Program, providing support and guidance to students, families, supervisors, and campus partners regarding program requirements, eligibility, and procedures.
  • Coordinate and support the administration of the Federal Work Study Program, including monitoring program utilization, maintaining records, reconciling funds, supporting outreach efforts, and ensuring compliance with federal regulations.
  • Administer private student loan processes, including certification, adjustments, notifications, disbursement coordination, reconciliation activities, and issue resolution with students and lenders.
  • Conduct end-of-term Satisfactory Academic Progress (SAP) review processes, including evaluation of student records, application of federal and institutional standards, communication of outcomes, and support of appeal and reinstatement activities.
  • Review and evaluate student eligibility for federal financial aid programs through analysis of enrollment, academic progress, federal aid requirements, and institutional data to ensure compliance and appropriate aid delivery.
  • Assist with Return to Title IV calculations, post-withdrawal disbursement processes, and related federal compliance activities as assigned.
  • Analyze system-generated reports and other data sources to identify compliance concerns, monitor program effectiveness, reconcile funds, and support accurate awarding and disbursement of aid.
  • Provide specialized support for elevated student inquiries from College Navigators, Admissions Counselors, and Student Success Representatives, ensuring timely and accurate responses to complex financial aid questions and concerns.
  • Collaborate with Student Account Services, Human Resources, and other campus departments to ensure timely and accurate processing of student aid and related financial transactions.
  • Maintain a working knowledge of federal, state, and institutional financial aid programs and supporting regulations, translating regulatory requirements into effective operational processes.
  • Participate in training and professional development opportunities to provide continuing education in financial aid administration.
  • Execute assigned responsibilities, duties, and tasks according to established college policies, procedures, and standards in a safe manner and with minimal supervision working independently to identify problems and recommend solutions.
  • Contribute to student satisfaction through delivery of quality customer service in all aspects of the administration of financial aid.
  • Participate in the development of institutional financial aid policies and processes that will positively impact efficiency and quality of service provided.
  • Perform other duties as directed, including internal and external committee assignments, and attendance at college, community, and professional events.

 

Required Knowledge, Skills & Abilities

  • Bachelor’s degree in a related field from a regionally accredited institution of higher learning or three years of experience in student financial aid programs, including knowledge of state and federal regulations on student financial aid administration, or any equivalent combination of education, training, and experience.
  • Excellent organizational skills with the ability to work in a multi-tasked high-volume office and meet deadlines.
  • Three years of experience in database systems, and Microsoft Excel and the ability to use information technology for professional productivity (such as Microsoft Office Suite).
  • Accuracy and attention to detail.
  • Ability to maintain confidentiality.
  • Ability to work effectively in teams as well as independently.
  • Strong oral and written communication skills.

 

Preferred Knowledge Skills & Abilities

  • Three years of customer service experience.
  • Experience with Colleague.
  • Experience working within a collegiate setting.
