SCHEDULE DETAILS: Full-time/12 month position/PSRS

 

Position Summary

The College Director of Foundation Operations provides strategic and operational leadership for the Ozarks Technical Community College Foundation, ensuring the effective management of fundraising infrastructure, financial stewardship, donor relations, and foundation governance support. Reporting to the Executive Director of the OTC Foundation, this position serves as a key partner in advancing the Foundation’s mission to support student success, institutional priorities, and long-term financial sustainability.

The College Director oversees core operational functions of the Foundation, including gift processing, donor data management, financial administration, compliance, reporting, and systems optimization, while supporting a culture of excellence, collaboration, and donor-centered service.

Essential Job Duties

Foundation Operations & Administration

  • Lead and oversee all Foundation operational functions, including gift processing, receipting, acknowledgments, pledge management, fund tracking, and endowment administration.
  • Lead and coordinate operating calendars, shared files, and project management between Foundation staff.
  • Coordinate work between the Foundation and the College on financial, legal, and administrative matters as the primary operational liaison.
  • Maintain accurate, timely, and compliant financial and donor records in collaboration with the College’s finance, advancement, and IT teams.

Leadership & Collaboration

  • Support the Executive Director of the Foundation as a trusted advisor and key contributor to Foundation-wide planning and decision-making.
  • Lead, supervise, and develop Foundation operations staff, fostering professional development, accountability, and teamwork in support of events and activities serving fundraising, stewardship, relationship management.
  • Coordinate reporting, recognition, and fulfillment of donor commitments with Foundation development staff.
  • Maintain guidance for College partners on fundraising activities affecting scholarships, events, student organizations, and institutional projects.

Financial Management & Reporting

  • Support Foundation leadership by preparing regular reports and dashboards for staff, the Foundation Board, and College administration highlighting fundraising activity, fund performance, and operational effectiveness.
  • Oversee charitable revenue and spending budgets for scholarships, student support, programs, capital projects, and other donor-funded commitments; align restricted, unrestricted, endowed, and pass-through resources with approved institutional priorities and donor direction.
  • Oversee operational budgeting and strategic planning, including daily expenses and long-range systems, contracts, events, and administrative costs.
  • Coordinate data imports, exports, reconciliation, and reporting across advancement, scholarship, financial, and student systems, including Ellucian Colleague.
  • Coordinate with College finance staff, external auditors, and legal counsel to support audits, tax filings, and financial transparency.

Donor Data & Systems

  • Lead and oversee the Foundation’s donor database and advancement systems, ensuring data integrity, security, and effective execution of appeals, fundraisers, campaigns, stewardship, reports, publications, and relationship management.
  • Oversee Foundation funding agreements, reporting, and records.
  • Oversee the Foundation business systems administration, including Blackbaud Raiser’s Edge NXT and Blackbaud Financial Edge.
  • Coordinate award-notification workflows with designated College departments; maintain Foundation award rules, committee guidance, documentation, and exception procedures.
  • Coordinate process improvements and technology enhancements to support fundraising growth and operational efficiency.
  • Maintain queries, audience segments, and records including current students, alumni, employees and retirees, donors and prospects, volunteers, and community partners, ensuring data integrity, security, and effective execution of events, reports, and publications.

Policy & Governance Support

  • Support Foundation leadership to engage the Foundation Board of Directors, coordinating the work of the board and its committees by preparing minutes, materials, reports, and other items as assigned as Assistant Secretary.
  • Coordinate Foundation policies, procedures, and internal controls to ensure effective delegation and compliance with institutional, state, federal, and IRS regulations.
  • Maintain college and governance policies that align with best practices for nonprofit and foundation management and compliance.

 

Required Knowledge, Skills & Abilities

  • Bachelor’s degree in business administration, finance, accounting, nonprofit management, or a related field.
  • Five (5) or more years of progressive responsibility in foundation operations, advancement services, nonprofit administration, or related areas.
  • Demonstrated experience with donor databases/CRMs or comparable business and advancement systems.
  • Strong knowledge of nonprofit financial management, compliance, and best practices in philanthropic operations.
  • Knowledge of AI and modern enterprise software landscape.
  • Proven ability to manage complex processes, multiple priorities, and cross-functional relationships.
  • Demonstrated ability to document procedures, troubleshoot operational issues, and train staff.
  • High level of integrity, discretion, and attention to detail.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to translate complex data into clear, actionable information for diverse audiences.
  • Commitment to the mission, values, and student-centered focus of Ozarks Technical Community College.

 

Preferred Knowledge Skills & Abilities

  • Master’s degree in a related field.
  • Experience working in a higher education or community college foundation environment.
  • Supervisory or team leadership experience.
  • Familiarity with endowments, scholarships, restricted funds, and capital or comprehensive campaigns.
  • Experience with Raiser’s Edge NXT, Financial Edge, Ellucian Colleague, or comparable platforms.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions.  Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel. 

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
