JOB TITLE: RECORDS AND REGISTRATION SPECIALIST                                           DEPARTMENT: REGISTRAR’S OFFICE

SALARY RANGE:  Level III-2, $36,000 - $38,000                                                    FLSA: NON-EXEMPT

 

IMMEDIATE SUPERVISOR:  Assistant Registrar – Records and Registration

SCHEDULE DETAILS:  Full-time/12 month position/PEERS

 

Position Summary

The Records and Registration Specialist is responsible for evaluating student eligibility for commencement and communicating that eligibility with students, distributing paper and electronic diplomas, duplicate diplomas and working with departments to identify graduates. This position also processes various Registrar forms for students including all program changes in an organized and timely fashion, and assists students, faculty and staff with registration issues. The Records and Registration Specialist serves as the Missouri Reverse Transfer Coordinator for Ozarks Tech.

 

Essential Job Duties

  • Responsible for evaluating eligibility and completing processes necessary to confer degrees each term. These processes include but are not limited to monitoring graduation applications, reviewing eligibility for graduation, monitoring Missouri Civics Exam completion and ordering of diplomas.
  • Serves as the Missouri Reverse Transfer Coordinator for OTC.
  • Communicates with students regarding status of their graduation application and sends graduation communications through the college’s Communications Management system.
  • Provides specialized support for elevated student inquiries from College Navigators, Admissions Counselors, and Student Success Representatives, ensuring timely and accurate responses to complex admissions questions and concerns.
  • Processes grade changes, program changes, incomplete grades, and other Register’s Office forms in an accurate, organized, and timely fashion.
  • Builds, schedule and reviews daily, weekly and monthly reports and updates student records as needed to ensure accuracy.
  • Builds and manages the waitlist process and manually registers students as needed.
  • Orders supplies, monitors budgets and submits payment requests for the Registrar’s Office.
  • Ensures final grades are collected for undergraduate level coursework.  Works closely with academics to communicate the importance of timely submission.  Notifies departments when all grades are received.
  • Assists with the auto-graduation process.
  • Manages the “VIP” Program, including recruiting VIP students, assisting them with the application process and helping them register for classes and complete their payment plan.
  • Supports Academic Affairs, college divisions and other departments, and all campuses and centers regarding registration processes and basic Registrar’s Office functions.
  • Exhibits exemplary attendance and punctuality.
  • Complies with college policies and procedures.
  • Performs other duties as assigned, including attending college functions, serving on committees and attending community events.

 

Required Knowledge, Skills & Abilities

  • Bachelor’s degree from a regionally accredited institution of higher learning.
  • One year of customer service experience.
  • Demonstrated ability to prioritize office tasks.
  • Experience processing documents in an accurate, organized, and timely fashion.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Microsoft Office Suite).

 

Preferred Knowledge Skills & Abilities

  • Three years of customer service experience. 
  • Experience with Colleague.
  • Experience working within a collegiate setting.

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
